Report
October 2003
Southern Chapter was well represented
at the Chapter Council meeting held on Saturday, May 3rd during
the 2003 MLA meeting in San Diego. All three Chapter Council
representatives attended (Sarah Gable, Outgoing CC Representative;
Jan LaBeause, Incoming CC Representative & Outgoing CC Alternate;
and Danny O'Neal, Incoming CC Alternate), as well as Southern
Chapter member Linda Garr Markwell, the current Chapter Council
Chair. The highlights from that meeting were included in the Summer 2003 (v. 19, no. 3) issue of Southern
Expressions. Following appointments and elections at that meeting, Jan LaBeause
will Chair the Chapter Council Presents Sharing Roundtables for 2004 (and welcomes
suggestions for topics), Danny O'Neal will serve on the Majors/MLA Chapter Jury
Project, and - we are proud to announce - Sarah Gable was elected as incoming
Chapter Council Chair.
We are honored that MLA Executive Director Carla Funk and MLA President Pat Thibodeau
are present at the Annual Southern Chapter Meeting. Don't miss Pat's MLA Update
(Monday, October 13th, 8:30am) on what's happening at the national level and
her plans for the rest of the year as she challenges each of us to “Seize Your

I'm also happy to report that Carla and next year's MLA President Joanne Marshall
have accepted our invitations to join us for the 2004 meeting on the beautiful
Mississippi Gulf Coast.
October marks the 7th observance of National Medical Librarians Month. This year's
theme is “Surf Smart.” It's not too late to plan activities and events promoting

Don't forget to submit your activities to MLA's Creative Promotions Award contest
held immediately after NMLM. The deadline for submissions in this year's contest
is November 30, 2003.

- Nomination deadlines for all Awards are November 1 while the application
deadlines for Grants and Scholarships are December 1, unless otherwise noted.

to be presented at MLA 2004 in Washington, DC, May 21st-26th.

MLA about events and projects of interest to everyone in Southern Chapter. If

information you have already received. We apologize for that, but want to be
sure everyone (including non-MLA members) stays informed. If you are one of the

Southern Chapter membership in the Academy of Health Information Professionals
as of September 23, 2003 is as follows:

Fourteen chapter members are up for renewal before the end of this calendar year
and 42 are up for renewal in 2004. I continue to offer assistance to those completing
new or renewal portfolios.
Sixteen attended the AHIP session on October 19, 2002 at the Nashville SC/MLA
meeting. There was follow up via e-mail for questions asked that required the
liaison to seek additional information. There will be an AHIP session in Coral
Gables on Sunday, October 12, 2003. See the program for time and location.
What's New?
- Ads for AHIP and for the Mentor Database appeared in issues of Southern
Expressions. It is MLA's hope that these new ads will market and increase
AHIP visibility. SC/MLA members are encouraged to sign up online to serve
as mentors. We especially need mentors for provisional AHIP members.
- MLA has a new brochure: Mentoring Resources.
- A streamlined AHIP renewal process is in place for a second year. AHIP
members who seek to renew at the same level submit "forms only" for this
process. The requirement for backup documentation has been eliminated.

History - 2003 Annual Report

The History Committee developed a two-year plan of projects and activities. Each
member agreed to serve on at least one subcommittee to accomplish the following:
Several of these require working closely with other chapter committees, officers,
and the Web site coordinator. Progress has been made on #2, 3, 4, 6, and 7. The
target for remaining items is May 2004.
- Survey other MLA chapters and library associations to see whether they
have history committees and how they manage archives and historical documentation.
Consider implementation of new procedures for SC/MLA.
- Develop recommendation for policy and procedures for archiving emails
and other discussion list attachments on SO-CHAP and SC-EXEC
- Publicize to encourage more oral histories of Southern Chapter members.
Create an Oral History Web page. Investigate having MLA Oral History Committee
support at least some of the expenses for those members who have made national
contributions.
- Identify history-related sections of the chapter Web page that need updating.
Develop plan for ensuring timely updates in the future.
- Expand procedure manual to include more than Archives procedures.
- Collect and preserve the annual meeting resolutions (See Archivist's report)
- Preserve chapter meeting presentations
- Coordinate preservation of information on recipients of SC/MLA and MLA
honors/ awards
- Develop plan for the chapter's historical posters
Mary Lynch is willing to continue as the chapter archivist, but would like to
receive additional training. The SC Executive Board had previously approved the
support of training for her. In addition, Richard Nollan and T. Mark Hodges very
generously agreed to continue to provide advice on a variety of committee projects
and discussion topics.

Hospital Libraries Committee - 2003 Annual
Report
October 2003
To promote the hospital librarian, the chair submitted news and information to
the editor of Southern Expressions, and it was published. Working with Susan
Selig, Chair of the Honors & Awards Committee, the list of Hospital Librarian
of the Year Award winners was updated and is posted on the Chapter web page.
Programming, speakers, participants and moderators have been arranged for the
annual meeting in Coral Gables, FL. Lee Huntley, CEO of Baptist Hospital of Miami
is the invited speaker for the Hospital Librarians Luncheon. Hospital librarians
are participating in the program, the poolside chats and the poster displays
during the 2003 chapter annual meeting.
Participation and attendance at hospital library programming and the luncheon
at the Nashville chapter meeting in October 2002 were excellent. Hospital librarians
also presented posters and papers at the Nashville meeting.
Nominations for the 2003 Hospital Librarian of the Year Award were solicited
on the listserv and in Southern Expressions. Four worthy names were put forward
and the committee reviewed the applications.
Tracy Powell, hospital branch and clinical librarian for Lister Hill Library
at the University Hospital of the University of Alabama at Birmingham was selected
as the 2003 Southern Chapter Hospital Librarian of the Year. She will be presented
with a plaque and $250 at the Nashville meeting, during the business meeting
breakfast, Sunday October 12, 2003.
Marilyn Teolis will assume the chair of the Hospital Library Committee at the
conclusion of the annual meeting. We appreciate her willingness to assume the
duties. Marilyn and the committee members will begin the process to stagger the
committee members' terms. In the past, one-third of the committee had their terms
expire every two years, thus providing continuity. Somehow, with the loss of
members and with new members, all the terms have come to expire during the same
year. We have representation from each state and the Caribbean on the committee.
It has been a privilege to serve the chapter and the hospital librarians as chair.

Professional Development - 2003 Annual Report

The annual meeting of the Southern Chapter of the Medical Library Association
(SC/MLA) will be held October 9-13, 2003, in Coral Gables, FL, at the Omni Colonnade.
The host for the meeting is the Louis Calder Memorial Library of the The committee
reported in May 2003 that 8 courses were scheduled to be offered at SC/MLA 2003
in Coral Gables on both Friday Oct 10 and Monday Oct 13.
The hands-on Docline course to be offered on Friday was cancelled prior to
registration. After registration, the Providing Health Information Resources
in Other Languages, 8 hr hands-on, class to be offered on Monday was cancelled
due to lack of registrants
As of Sept 26, six courses had enough registrants to make. There are 78 registrations
for CE classes.
There was one Journal Club convened by Pamela Sherwill-Navarro September
2002-February 2003 titles PDAs. There were seven participants.
Karen Dahlen is the in-coming Chair for Oct 2003-Oct 2004.

The annual meeting of the Southern Chapter of the Medical Library Association
(SC/MLA) will be held October 9-13, 2003, in Coral Gables, FL, at the Omni Colonnade.
The host for the meeting is the Louis Calder Memorial Library of the University
of Miami School of Medicine, Miami, FL. The meeting website is http://calder.med.miami.edu/SCMLA2003/.
The program theme, “Coming About: Designs for the Future, Reflections from the
Past,” was selected to invite attendees to build upon past experiences while
exploring new opportunities for providing library services.
Highlights of the program include an opening session by Henry Lemkau, Director
of the Louis Calder Memorial Library, University of Miami School of Medicine: “HMS
Medical Library: Where We Were, Where We Are, Where We Are Going”. From
Robert G. Brooks, M.D., Associate Dean for Health Affairs, Florida State University
College of Medicine and Principal Investigator for a grant which established
the Center on Terrorism and Public Health, we will hear “Bioterrorism: No
Safe Harbor” . Barbara Shearer, director of Florida State University College
of Medicine Health Sciences Library, will moderate a panel discussion: “Steering
a Course Through Uncharted Waters: Creating New Academic Medical Libraries from
1971 to Aught 1”. Raymond Santiago, Director of Miami-Dade Public Library
System, named 2003 Librarian of the Year by Library Journal, will speak on “Navigating
the Library through the Political Waves” and Steven G. Ullman, PhD, Vice
Provost, University of Miami, “SOS; Is It Time for the Health Care System to
be Thrown Overboard?” Our MLA president, Pat Thibodeau, will be a featured speaker.
Janice Kelly will provide an update from the NN/LM.
Poolside chats will provide opportunities for informal discussions of current
topics.

Hospital Library Luncheon: A View from the Bridge as Lee Huntley, CEO from award
winning Baptist Hospital of Miami tells us how hospital administrators use/perceive
the library and its services in their organization.
The Mentoring Breakfast offers opportunities for mentoring in the areas of publications
and presentations as Judy Burnham, Martha Earl, Lyn Dennison, Lynanne Feilen,
Scott Plutchak, Laura Kane, Priscilla Stephenson, and Mary Fran Prottsman present.
Twenty-four papers and 15 posters have been accepted.

Public Relations Committee - 2003 Annual Report

Public Relations Committee charges:
- Publicize the Southern Chapter and its activities, both internally
and externally, by promoting knowledge and information about libraries, librarians,
and health libraries in particular.
- Increase the visibility of health sciences librarians and public
awareness about the field of health sciences librarianship.
- Encourage health sciences librarianship as a career.
The librarian steps off the elevator, and sees a pharmacist
from third floor. “Congratulations
on that thing you did!” she says. “I saw it in the employee newsletter. You know,
it was something about some library award you got.”
What the pharmacist saw was a blurb saying that the librarian was a Southern
Chapter officer. Maybe the details didn't quite stick, but her comment was
enough to make the librarian smile and walk a little taller.
Meanwhile, in the Executive Offices, the CEO is glancing through the employee
newsletter and sees the librarian's name. “Oh yeah,” he thinks. That looks
good.”
Notifying local publications and CEOs when librarians hold office, receive
awards, and otherwise excel in the profession is a good way to spread well-deserved
recognition. It's not only good for the individual, it's good for the profession.
The PR Committee needs your help in identifying our gold standard librarians,
and also in identifying the local sources that recognize them.
Our PR Chair for 2003-2004 is Laura Kane. She and her committee would welcome
any information you might have on honors, accomplishments, offices, or other
good news about our members. Don't hesitate to send information about your
own accomplishments. That will help us all!

Research Committee - 2003 Annual Report

The Research Committee completed several major tasks this year:
Research Spotlight column in Southern Expressions
- Promoted and encouraged chapter research with articles in “Research Spotlight” column
- “John Orriola - Winner of Annual Research Committee Award, ” by Rita
Smith. Win 2003; 19(1): 3, 8.
- “Research in the Chapter,” by Priscilla Stephenson, Spr 2003; 19(2):
3, 6, 21.
- “Research Project Grant Funding Available,” by Addajane Wallace, Sum
2003; 19(3): 17.
- "Research Interests at Southern Chapter's SLIS Programs,” by Rita Smith,
Sum 2003; 19(3): 18.
- “Southern Chapter Research Project Grant,” by Addajane Wallace, Fall
2003; 19(4): 14.
- A survey of members' ongoing research interests and projects was completed
using SOCHAP-l. Results were published in a “Research Spotlight” column.
- All SLIS programs in the Southern Chapter's geographic area were contacted
for input regarding current research efforts by their faculty or students.
Results were published in a “Research Spotlight” column.
Web Page
- Updated and re-organized all Committee pages on the chapter web site. From
these updated pages, a Committee Manual was developed and posted on the web
site, summarizing the Committee's role within the Chapter and providing a
timeline for annual activities. A short history of the Committee was developed
and added to the online manual.
- Reviewed the abstracts of all papers and posters presented at the 2002
Annual Meeting held in Nashville, TN and posted those with a research focus
on the chapter's web site.
- Our Research Mentors were each contacted and asked if they were willing
to continue serving in that capacity. Updated curriculum vitae were obtained
for them and added to the web page.
Research Project Grant A new program of awarding cash prizes for the best
research papers and the best research posters presented at the Annual Meeting
was instituted with the 2003 meeting. The evaluation criteria were researched
and developed to reflect the current standards of the MLA Research Committee.

SC/MLA Website - 2003 Annual Report

The SC/MLA Website serves as an important vehicle for communicating Chapter information
and activities to the membership.
Domain In mid-November 2002, the website was transferred from the University
of Alabama's web domain to the Vanderbilt University web domain. The URL http://www.scmla.org resolves
to http://www.mc.vanderbilt.edu/biolib/scmla/.
The domain name is registered at Namesecure.org and expires December 6, 2007.
Statistics Since moving to the Vanderbilt domain, the SC/MLA Website has
averaged 140 hits/day with an average of 4,266 hits/month.
Updates During the past year several updates have been made to the SC/MLA
Website. Some of the updates include:
- revision of the Research Committee pages
- updating the Chapter membership roster
- updating various forms, committee rosters and manuals
- creating pages for Electronic Presentations from 2003 Annual Meeting. Submission

- reformatting web pages with embedded PHP scripts for easier updating of
website display options
Topics for Consideration at the 2003 Business Meeting
A.Transfer of Website to permanent location
The SC/MLA site is currently hosted on the Vanderbilt server and had been previously
hosted on the University of Alabama server. In order to maintain consistency
in address location (so that the site does not need to move when changing coordinators)
the Website Coordinator strongly encourages the Chapter to purchase permanent
online space. Based on the current size and usage of the site, estimated costs
for web space are $10/month.
B. Members Only area
The idea of creating a "Members Only" portion of the website has been proposed.
The proposed content for this “Members Only” area is for Chapter members contact
information and thereby eliminating the need for a print membership directory.
The Website Coordinator will develop a prototype with and submit for initial
review to the Executive Council by the end of November. Additional ideas are
welcome.

There has been one Southern Expressions issues published in 2003 so far, the
Winter issue, with the Spring issue currently in production. Submissions have
been readily forthcoming from members as always.
Expenses for the last Southern Expressions issue (Winter) include:
